7 Tips to Get the Most From Your IT Support Provider

Too many small businesses lean on an employee or friend “who knows a bit about computers” to manage their IT needs. But if you’re serious about your business’s growth and longevity, you need to get serious about IT support by either hiring an IT professional or using an outsourcing firm. The cost will pay off the first time you get the blue screen of death.

American small business spend billions of dollars each year on IT support, yet most of them don’t have a thoughtful IT support strategy to ensure they are getting the most bang for their buck. The following seven tips will help you get the most from you provider of technical support.

1. Establish a relationship with a provider.

Dig your well before you are thirsty. Don’t just call an IT support provider when you have a technical support emergency. Get to know one while sailing is smooth and build a stable relationship with them. This will help them get to know you, your needs, and your systems during a time of relative calm, which is easier on everyone. That way when you really do need them, they’ll be prepared and able to help you as efficiently as possible.

2. Treat your IT support provider like a part of your team.

As a continuation of tip No. 1, treat your IT support provider as a part of your team, not just a vendor. The more you are open with them about your goals, priorities, and concerns, the more they will be able to help you. Show them the trust and respect of a professional, and they will bend over backward for you.

3. Be clear about your expectations.

Every business has different needs and expectations. Some can’t afford any downtime and are willing to pay to be up 24/7, while others are just fine if their computers don’t work for a few hours and don’t want to pay higher rates to ensure uptime. Be clear about your expectations, so your service provider can align their service and costs with your expectations.

4. Let them monitor your systems.

IT support professionals have access to amazing remote monitoring and management tools that let them do their jobs more effectively and efficiently. These tools can monitor the health of your systems and alert your IT support team of a possible problem before it becomes a disaster. This decreases costs and the likelihood of computer downtime.

5. Find someone with experience in the hardware and software you use.

You don’t want your IT support specialist to learn on the job while you are picking up the tab. Find someone who has experience in the majority of the hardware and software you use. At the same time, be realistic and understand that your technical support team may not have experience in everything you use; tell them that you’d like them to make the investment in learning the technology at their cost as a sign of commitment to a long term relationship with you.

6. Find a provider that does remote support.

Ninety percent of IT support issues can be resolved over the phone or internet. Find a service provider that is staffed to provide effective remote support so you can minimize the costs and wasted time associated with waiting for a service provider to drive to your office.

7. Find a provider that offers managed services

“Managed Services” is a term used by IT support providers to describe an ongoing IT management relationship with a client that generally includes the proactive management of the client’s technology (versus just reactively responding when something is wrong) for a flat monthly fee. This combination of proactive services on a flat monthly budget can really benefit small businesses by removing some of the costly surprises that come with working with a service provider on an hourly basis.

I love these folks. This is the second time I’ve had to turn to TechnoButler after moving to Frederick just five weeks ago. They’re great. They saw me right away both times. The first time a small part had broken on my Sony Vaio. It would have cost at least $ 200 to have Sony fix it. They charged me $ 50 for a simple, attractive make do which is fine for my three-year-old computer. Now I have deep viruses so they had to save and erase all the programs to return the original settings. Again, prompt work, very reasonable (dare I say cheap) prices. Choosing who to trust with your computer can be just as scary as picking an auto mechanic. And these days, we often rely on our computers even more than our mode of transportation. Following are some tips to help you feel less overwhelmed when trying to decide on a computer repair company:

  •  Get someone local to you. This may seem like a no-brainer, but you may be tempted to choose a company further away just because a friend or coworker recommended them. It’s important to choose someone local, however, because your goal is to develop a long-term relationship with the same group of people; and this is not likely to happen with the inconvenience of traveling too far. In addition, these days, Google Places can be relied on to return trustworthy results for local business searches.
  •  Check references and reviews. Often when a computer breaks down, the first thing you do is panic. You’re tempted to choose the first repair company you come across, but this is usually a mistake. Someone under-qualified or disreputable for other reasons will only make your life worse in the long run. Take some deep breaths and check out the references and reviews for a company before taking the plunge.
  • Word of mouth is not worthless. While it’s good to check out other reviews and references, do pay special attention to what your friends, family, and coworkers say about their experiences with local computer repair companies. You know you can trust these people to be honest. If someone you know well strongly recommends a particular company without bias, chances are that choice should be at the top of your list.
  • Can you communicate? When you initially call a company, ask questions and make sure you can communicate well with the computer repair person. Computer experts are often poorly trained in explaining issues in layman’s terms, and this can create a myriad of problems from money issues to misunderstood expectations. Choose someone that is easy to talk to, helpful, and eager to answer your questions fully and completely.

  • Availability of spare parts. Because time is always of the essence when it comes to computer repair, it’s critical to choose a provider who has reliable, convenient access to a wide selection of spare parts. It’s also good to check whether that company would be willing to lend you a stand-in computer in case of an unusually long delay in repairs.
  • Installation and upgrade expertise. Even if you’re not interested now, it’s likely that in the future you’ll need some help with installation and configuration issues, and/or upgrading system components such as hard drives or graphics cards. A good computer repair services provider will have technicians available to perform almost any service involved in computer maintenance or repair.

So when that dreaded crash happens, remember to follow the tips above and think logically before making a decision. Choosing your computer repair company wisely can lead to peace of mind, a rewarding long-term relationship, and a lot more money in your pocket.
